Cloud Backup & storage

 

Making sure all of your important documents, contracts, leases, customer files etc. are backed up is an essential part of business. The last thing you need is for your computer to crash and you lose all of your data files. So getting set up with an external back up drive or a cloud based service is going to be something that as a business owner you will want to do to ensure that if something happens you are just a few clicks away from restoring your data instead of starting over from scratch.

 

DropBox

Dropbox is a great cloud based backup tool that will give you the peace of mind that you need in order to keep your data safe.

 

A few of the nice features of dropbox are:

 

  • Folders

    • This is a great way to stay organized by making sure you can go right to the documents you need instead of having to search through 10s, 100s, or even thousand of files for what you are looking for.
  • Paper

    • Paper is more than a doc—it’s a work space that brings creation and coordination together in one place. Write and edit, brainstorm, review designs, manage tasks, or run meetings.
  • Link Sharing

    • This feature allows you to create a shareable link. This is nice to use for teams or if you want to share documents with customers/clients. You can also use it to share documents to the public, so lets say you are in marketing. You can create a free eBook on marketing tips and share it with people via the link rather then having to email it to each person individually. 
  • Desktop

    • They offer a desktop download so you can auto backup everything from your computer to dropbox this way you don’t even have to spend time manually backing up your files
  • App

    • This is a nice feature that will allow you easy access to your files on the go. So if you are out meeting a customer/client and need to send them a document you can do it right there from your phone without having to set a reminder to send it later in the day when you get back to the office.

 

Google Drive

Google Drive is our favorite backup cloud service. We love Google Drive for the fact that it is already set up for us to use with our G-Suite accounts. Even better it comes at no additional cost to us.

 

A few of the nice features of Google Drive are:

 

  • Folders

    • Here you can create folders just like in dropbox to stay organized. You can also make team folders so if you have a project you are working on or have new marketing material you want to share with your team you can make it view able only to your team and not the public, or even available to certain team members.
  • Link Sharing  

    • just like dropbox you can create sharable links to share documents with people outside of your orginazation
  • Google Docs

    • Not only do you get cloud based backup but you also get Google Docs which will allow you to create new documents right inside of Google. This is great because then you do not have to worry about backup or losing files.
  • Desktop

    • They offer a desktop download so you can auto backup everything from your computer to Google Drive this way you don’t even have to spend time manually backing up your files
  • App

    • This is a nice feature that will allow you easy access to your files on the go. No matter which one you use or if you choose a different one or even to go with an external hard drive it is better to have one and spend the extra few minutes per day/week to back everything up rather then to lose all of your files overnight.
